1. Who we are and our role

Blink Chatbot is a sales-chat assistant service operated by CÔNG TY TRUYỀN THÔNG KĨ THUẬT SỐ BLINKATZ, 224/136/13 Đường số 8, Phường Bình Hưng Hoà, Quận Bình Tân, TP. Hồ Chí Minh, contact rick@blinkatz.com.

For messages and details of end customers (people who message a business's page), the business using the service decides the purpose and we process the data on its instructions as a processor. For the account data of the service's own users, we are the controller.

2. Data we process

• User accounts: email, name, avatar (if Google sign-in), one-way hashed password.
• Platform connections: access tokens of the business's Pancake account and pages, encrypted at rest.
• Conversation content between end customers and the business's pages: messages, comments, display names, the ad or post they came from.
• Details end customers voluntarily leave in a chat: phone number, delivery address, name.
• Documents the business uploads: price lists, training material, product images.
• Activity logs for security and reconciliation: time, action, IP address.

3. Purposes

We do not sell data, do not use one business's data to serve another, and do not use it for advertising.

• Show conversations and draft replies for staff to approve; send automatically only where the business enables it.
• Detect phone numbers and addresses to save in the business's own customer list.
• Reconcile the leads and orders generated, to calculate service fees.
• Improve replies FOR THAT business only (learning from past chats and from staff edits of drafts).
• Security, abuse prevention, technical support.

4. AI processing

To draft replies, the necessary part of a conversation and relevant documents are sent to the AI model providers we use (depending on configuration: Groq, Google, xAI, Anthropic). We send only what each reply needs, never the whole database.

AI replies can be wrong. The system therefore lets the AI read only prices and policies the business has approved, applies never-say rules, and provides an emergency stop.

5. Sharing

• Pancake (pages.fm): we read and send messages through the business's own Pancake account.
• AI model providers: as in section 4.
• Infrastructure provider: servers located in Vietnam (iNET).
• Competent authorities on lawful written request.

6. Retention and security

Each business has its own data space and every query is filtered by business. Tokens are encrypted with AES-256-GCM, transport uses HTTPS, backups run daily.

Conversations are kept until the business asks for deletion or ends the service; after termination data is deleted within 30 days (backups within a further 14 days).

7. Your rights

Under Vietnam's Decree 13/2023 on personal data protection you may know, access, correct, delete, restrict and withdraw consent. Email rick@blinkatz.com. End customers should contact the business they messaged; we will help that business comply.
